Setting Your Availability

Availability is a repeating weekly pattern, not a calendar you fill in date by date. Understanding that one thing explains most of what surprises people about it.

A weekly pattern, repeated#

You set slots per weekday - a start time, an end time, and the days they apply to. That pattern then repeats forward indefinitely. You are not filling in individual dates, which is why there is no month view to scroll through.

Why a mentee sees fewer slots than you set#

Your window is not a list of slots - it is the raw material slots are cut from. Several things narrow it before a mentee sees anything.

  • The session type's duration has to fit inside the window
  • Slots already taken by confirmed or pending bookings are removed
  • Time that has already passed is removed

This is why a 10:00–17:00 window is not seven bookable hours

A 90-minute session type cannot start at 16:00 in a window that closes at 17:00. Long session types need wider windows to be bookable at all.

Double-booking is refused#

Two mentees cannot take the same slot. If somebody tries to book a time that has already gone, the booking is rejected outright rather than queued or waitlisted, and they are shown the remaining slots.

Tip

This also means you do not need to defensively over-block your calendar. A confirmed session removes its own slot automatically.

Taking time off#

There is no holiday switch. The reliable way to stop new bookings for a period is to narrow or clear the weekly pattern, then restore it when you are back.

Clearing availability does not cancel confirmed sessions

If you are going away, check Bookings for anything already agreed in that period and cancel or reschedule it yourself. The calendar will not do it for you.

Slots carry a timezone, and mentees see them converted to their own. Set yours correctly once - if it is wrong, every slot you offer is wrong by the same offset and it is not obvious from your side.

The pattern is weekly, so the practical approach is to widen the relevant day temporarily, let them book, then narrow it again.

Check the duration of your session types against the width of your windows, and check how far into the future they are looking. A window that only fits a 30-minute type will show nothing to someone trying to book 90 minutes.
